Under Receive a Purchase Order

When fewer goods arrive compared to the quantity ordered, you may want to receive them and finish the purchase order instead of leaving the document open. This policy may apply to certain items, vendors, or vendor-items.

To record under receipt quantities, you can use the Under-Receipt Quantity field or change the Qty. to Receive field on a purchase order or warehouse receipt. When you change Qty. to Receive field to the actual received quantity, the Under-Receipt Quantity field updates to show the shortage quantity.

Alternatively, you can enter the shortage quantity in the Under-Receipt Quantity field and then the Qty. to Receive field updates to show the received quantity.

The following steps describe how to fill in the Qty. to Receive fields:

  1. Choose the icon, enter Purchase Orders, then choose the related link.

  2. Open the purchase order you want to receive.

  3. Choose the Home > Release action.

  4. If the location requires receipt, choose the Home > Create Whse. Receipt action.

  5. On the Purchase Order or Warehouse Receipt page, populate the following field:

    Field Description
    Qty. to Receive Enter the received quantity.

    If the total shortage is within the tolerance specified by the assigned under-receipt code, the Under-Receipt Quantity field will update to show the shortage.

  6. Choose the Home > Release action on the Purchase Order page.

    -OR-

    Chose the Home > Post Receipt action on the Warehouse Receipt page.

    Once all lines on the purchase order are posted, the order will be closed.
