Calculate Commissions

Commissions are calculated when posting a sales document, like a sales order or credit memo, or when posting a commission journal line.

When posting a sales document, commissions are calculated automatically. For a commission to be successfully calculated, you must first ensure the following:

  • Have at least one active commission with the following:

    • At least one customer/group that matches the customer on the sales document.

    • At least one agent/group that is matches the agents associated with the sales document.

    • At least one item/group that matches at least one item on the sales document lines.

  • Ensure the posting date of the sales document is the same as or after the starting date of the commission.

  • Ensure the posting date of the sales document is the same as or before the date entered in the ending date on the commission, if one has been defined.

  • Ensure the sales document currency code equals the currency code of the commission.

  • If the commission has tiers defined, make sure that the sales document line(s) are within the tier criteria.

Calculate commissions for a sales order

These steps also apply to the Sales Invoice page.

  1. Choose the icon, enter Sales Orders, then choose the related link.

  2. On the Sales Orders page, select the sales order or create a new sales order.

  3. Complete the sales order as needed.

  4. Add agents to the sales order.

    Agents need to be added to a sales document in order to be eligible for a commission.

    If agents are assigned to a customer, they will automatically be included on that customer's sales documents.

    If the Sales Document Agents Editable toggle is turned off on the Sales Commission Setup page, then you cannot add or change agents.

    1. Select Order > Agents.

    2. On the Sales Document Agents page, populate the following fields:

      Field Description
      Agent No. Select the agents eligible for commission for this sales document.
    3. Close the page.

  5. On the Sales Order page, in the Lines FastTab, ensure the following field is not populated.

    Field Description
    Exclude From Commissions Clear the checkbox.
  6. If applicable, select Actions > Posting > Other > Preview Posting, and select Commission Entry to preview the commission entries.

  7. Select Home > Post, and then select Ship and Invoice.

    The commissions can now be posted to the agent.

Calculate commissions for a sales credit memo

In the event customers have returned or are being reimbursed for items that included commissions, you can reverse the commission using a sales credit memo.

These steps also apply to the Sales Return Order page.

Important

If you want the system to calculate commissions for credit memos, the Calculate Sales Cr. Memo Commissions toggle must be turned on in the Sales Commissions Setup page.

  1. Choose the icon, enter Sales Credit Memos, then choose the related link.

  2. On the Sales Credit Memos page, select the sales credit memo or create a new one.

  3. Complete the sales credit memo as needed.

  4. Add agents to the sales credit.

    Agents need to be added to a sales document in order to be eligible for a commission reversal.

    If agents are assigned to a customer, they will automatically be included on that customer's sales documents.

    If the Sales Document Agents Editable toggle is turned off on the Sales Commission Setup page, then you cannot add or change agents.

    1. Select Credit Memo > Agents.

    2. On the Sales Document Agents page, populate the following fields:

      Field Description
      Agent No. Select the agents eligible for commission for this sales document.
    3. Close the page.

  5. On the Sales Credit Memo page, in the Lines FastTab, ensure the following field is not populated.

    Field Description
    Exclude From Commissions Clear the checkbox.
  6. If applicable, select Actions > Posting > Other > Preview Posting, and select Commission Entry to preview the commission entries.

  7. Select Home > Post.

    The commissions can now be posted to the agent.

Calculate commissions manually

If commissions were not calculated when sales documents were posted, the Calculate Commissions page can be used to process posted sales invoices and credit memos.

The task will only calculate commissions for documents that don't already have commission entries calculated.

A job queue can be set up calculate the commissions.

  1. Choose the icon, enter Calculate Commissions, then choose the related link.

  2. On the Calculate Commissions page, enter the invoice and credit memo filters.

    Important

    If you want the system to calculate commissions for credit memos, the Calculate Sales Cr. Memo Commissions toggle must be turned on in the Sales Commissions Setup page.

  3. Select OK.

    Posted documents that already have at least one calculated commission entry will not be re-calculated. If you need to adjust a document that already has calculated commissions, use the commission journal.

    The commissions can now be posted to the agent.

Apply commissions from commission journal

The commission journal allows you to manually post commission entries for a sales document. When you post a commission journal line, entries will be generated in the Commission Entries and the Detailed Commission Entries pages.

  1. Choose the icon, enter Commission Journals, then choose the related link.

  2. On the Commission Journals page, populate the following field:

    Field Description
    Batch Name If applicable, select a commission batch.
  3. In the table, populate the following fields:

    Field Description
    Posting Date Select the date the commission will be posted.
    Document Type

    Select if the document type.

    • Invoice: Commission amount is applied to pay-to customer.

    • Credit Memo: Commission amount is removed from pay-to customer account. This can be used if a commission was applied in error.

    Document No. Document number to which to apply commission.
    Document Line No. Document line to which to apply commission.
    Commission No. Select the commission to apply the selected document line.
    Document Amount

    Enter the amount of the commission.

    Tip

    Select Actions > Page > Show more/fewer columns to show or hide columns.

  4. Select Posting > Post.

    The commissions can now be posted to the agent.
