Create Item Recalls
When starting the process for creating item recalls, the initial step involves generating a simulated recall. This simulated recall serves either as a practice exercise for testing and training purposes or can progress into a released item recall intended for actual deployment.
Both simulated and released recalls can be finished or closed, preserving their history for reference purposes.
Create a simulated recall
The item recall process begins with the creation of a simulated item recall document, which allows you to trace an item by its variant, lot, serial number, or package. The simulated item recall document can be used for testing, training, and addressing real quality problems. When an item is suspected of being contaminated, the simulated item recall helps identify which customer received the item and where it came from.
In some cases, a simulated item recall is created for educational purposes, enabling employees to become familiar with the recall procedure. It can also be initiated to identify potential problems and test the company’s recall procedures.
Choose the icon, enter Simulated Item Recalls, then choose the related link.
On the Simulated Item Recalls page, choose the New action.
On the Simulated Item Recall page, on the General FastTab, populate the following fields:
Field Description No. Enter a number or let the system assign a number based on the numbering series defined during setup. Description Enter a description of the item recall. Assigned User ID Select the person responsible for the recall. Item Recall Category Code Select the category code to assign to the item recall.
The category code can be used to group similar recalls together and includes restriction codes that can be applied to the recall.If applicable, add inventory restrictions to the recall.
If the Inventory Restrictions app is installed, you can add restrictions codes to simulated and released item recalls.
This allows you to apply restrictions to tracked items associated with released item recalls. The restricted items will be prevented from being used in inbound, outbound, and warehouse processes depending on how the inventory restriction codes were set up.
On the Trace Filters FastTab, populate the following fields as needed:
Field Description Item Filter Select the item number for which you want to perform the recall. Package No. Filter Select the package number for which you want to perform the recall. Lot No. Filter Select the lot number for which you want to perform the recall. Serial No. Filter Select the serial number for which you want to perform the recall. Variant Filter Select the variant for which you want to perform the recall. Show Components Select if want to see the components of the item that you are tracing. - No: Do not show the components.
- Item-tracked Only: Show only the components that have lot, serial and package numbers.
- All: Show all of the components.
Trace Method Specifies posted serial/lot numbers that can be traced either forward or backward in a supply chain. - Usage-> Origin: Traces the item from the point it was used to where it came from. This is helpful when the trace originates from a product that was shipped to a customer.
- Origin-> Usage: Traces the item from where it came into inventory to where it was used. This is helpful when the trace originates from a raw material.
Select Home > Run Trace to execute the trace based on the selected filters.
This will populate the item recall lines. On the recall lines, you can see source type information (customer, vendor, item), tracking information (lot, serial, package) and location information. The information on the lines is grouped to show you where you purchased the inventory from, where you shipped it, and if you still have any on hand in your warehouse(s).
Create a released recall
If a simulated item recall relates to a real situation, you must release the item recall document to notify the organization that further action is required.
Choose the icon, enter Simulated Item Recalls, then choose the related link.
On the Simulated Item Recalls page, open the recall that you want to turn into an actual recall.
On the Simulated Item Recall page, select Home > Change Status.
In the pop-up window, select Released, and select the Yes button.
The recall can now be accessed from the Released Item Recalls page.
Apply restrictions to a released recall

The restricted items will be prevented from being used in inbound, outbound, and warehouse processes depending on how the inventory restriction codes were set up.
Finish a recall
Once a simulated or released item recall is resolved and no further action is required, you should change the status to finished, which closes the recall and keeps a record of it history. Finished recalls cannot be changed.
Choose the icon, enter Simulated Item Recalls or Released Item Recalls, then choose the related link.
On the Simulated Item Recalls or Released Item Recalls page, open the recall that you want to close.
On the Simulated Item Recall or Release Item Recall page, select Home > Change Status.
In the pop-up window, select Finished, and select the Yes button.
The recall can now be viewed from the Finished Item Recalls page.
View additional information
Once an item recall has been created, you can view more information.
To get information from the source document that generated the transaction on the line, in the Lines FastTab, select Line > Show Document.
To view the ledger entries for the specific item, in the Lines FastTab, select Line > Item > Ledger Entries.
To view the complete set of trace details, select Related > Entries > Trace Entries.
