Calculate Rebates
Rebates are calculated when posting a sales document, like a sales order or credit memo, or when posting a rebate journal line.
When posting a sales document, rebates are calculated automatically. For a rebate to be successfully calculated, you must first ensure the following:
Have at least one active rebate with the following:
At least one customer/group that matches the sell-to customer on the sales document.
Have at least one item/group that matches at least one item on the sales document lines.
Ensure the posting date of the sales document is the same as or after the starting date of the rebate.
Ensure the posting date of the sales document is the same as or before the date entered in the ending date on the rebate, if one has been defined
Ensure the sales document currency code equals the currency code of the rebate
If the rebate has tiers defined, make sure that the sales document line(s) are within the tier criteria
Calculate rebates for a sales order
These steps also apply to the Sales Invoice page.
Choose the icon, enter Sales Orders, then choose the related link.
On the Sales Orders page, select the sales order or create a new sales order.
Complete the sales order as needed.
On the Sales Order page, in the Lines FastTab, ensure the following field is not populated.
Field Description Exclude From Rebates Clear the checkbox. If applicable, select Actions > Posting > Other > Preview Posting, and select Rebate Entry to preview the rebate entries.
Select Home > Posting > Post, and then select Ship and Invoice.
The rebates can now be posted to the general ledger.
Calculate rebates for a sales credit memo
In the event customers have returned or are being reimbursed for items that included rebates, you can reverse the rebate using a sales credit memo.
These steps also apply to the Sales Return Order page.
Important
If you want the system to calculate rebates for credit memos, the Calculate Sales Cr. Memo Rebates toggle must be turned on in the Sales Rebates Setup page.
Choose the icon, enter Sales Credit Memos, then choose the related link.
On the Sales Credit Memos page, select the sales credit memo or create a new one.
Complete the sales credit memo as needed.
On the Sales Credit Memo page, in the Lines FastTab, ensure the following field is not populated.
Field Description Exclude From Rebates Clear the checkbox. If applicable, select Actions > Posting > Other > Preview Posting, and select Rebate Entry to preview the rebate entries.
Select Home > Post.
The rebates can now be posted to the general ledger.
Calculate rebates manually
If rebates were not calculated when sales documents were posted, the Calculate Rebates page can be used to process posted sales invoices and credit memos.
The task will only calculate rebates for documents that don't already have rebate entries calculated.
A job queue can be set up calculate the rebates.
Choose the icon, enter Calculate Rebates, then choose the related link.
On the Calculate Rebates page, enter the invoice and credit memo filters.
Important
If you want the system to calculate rebates for credit memos, the Calculate Sales Cr. Memo Rebates toggle must be turned on in the Sales Rebates Setup page.
Select OK.
Posted documents that already have at least one calculated rebate entry will not be re-calculated. If you need to adjust a document that already has calculated rebates, use the rebate journal.
The rebates can now be posted to the general ledger.
Apply rebates from rebate journal
The rebate journal allows you to manually post rebate entries for a sales document. When you post a rebate journal line, entries will be generated in the Rebate Entries and the Detailed Rebate Entries pages.
Choose the icon, enter Rebate Journals, then choose the related link.
On the Rebate Journals page, populate the following field:
Field Description Batch Name If applicable, select a rebate batch. In the table, populate the following fields:
Field Description Posting Date Select the date the rebate will be posted. Document Type Select if the document type.
Invoice: Rebate amount is applied to pay-to customer.
Credit Memo: Rebate amount is removed from pay-to customer account. This can be used if a rebate was applied in error.
Document No. Document number to which to apply rebate. Document Line No. Document line to which to apply rebate. Rebate No. Select the rebate to apply the selected document line. Document Amount Enter the amount of the rebate.
Tip
Select Actions > Page > Show more/fewer columns to show or hide columns.
Select Posting > Post.
The rebates can now be posted to the general ledger.
